I. Introduction
The purpose of this Re-
quest for Proposal (RFP)
is to solicit proposals to
streamline and maximize
efficiency for the
Clark-Pleasant Commu-
nity School Corporation
(CPCSC) Whiteland, Indi-
ana for accounting and
human resources soft-
ware. This project will con-
sist of migration of data
from the existing software,
training staff on new soft-
ware, and implementation
of new software.
II. Submission of Pro-
posals
Responses to this RFP
are due by 1:00 pm EST
on January 30, 2026. Late
submittals will be rejected.
All proposals are to be
submitted labeled with the
subject of the proposal,
and addressed to:

III. Contract Term
Clark-Pleasant Com-
munity School Corporation
reserves the right to nego-
tiate with any service pro-
vider submitting a re-
sponse to alter, clarify, or
further enhance the
company's proposals
and/or any contract arising
out of the acceptance of
this response. In the eval-
uation of the proposal, the
fees submitted will be con-
sidered the best and final.
Clark-Pleasant Com-
munity School Corporation
is not obligated to accept
the lowest proposal and
reserves the right to reject
any and all proposals or
amend the scope of the
project. All of the projects
are pending final board
approval.

IV. Instructions
Responding
Companies/Individuals
must address the following
subjects in then-proposal:

History and Organization
Provide a brief history
including brief biographical
information regarding
company
2. A description of the
services the firm is able to
provide. The following
items must be addressed
as part of the description:
Do you provide
software/modules for hu-
man resources?
Do you provide
software/modules for ac-
counting?
Do you provide
software/modules for
ECA?
Do you provide
software/modules for ac-
counts payable?
Do you provide
software/modules for time-
keeping?
Do you provide
software/modules for pay-
roll?
Do you provide
software/modules for an
employee portal?
Do you provide
software/modules for as-
set management?
Do you provide con-
nection to student infor-
mation systems or have
the ability to allow for par-
ent payments for fees?
Do you provide
software/modules for
workflows to document for
audit purposes?
3. Detailed fee struc-
ture for services outlined
above and how long that
fee structure would be uti-
lized for billing
4. Number of similar
system migration projects
done in the last three
years for public school
corporations
5. Training and Im-
plementation Require-
ments
The vendor will be re-
sponsible for providing an
appropriate level of train-
ing and implementation
assistance to successfully
implement the system.
Vendors are expected to
provide an implementation
plan that includes the nec-
essary on - site assis-
tance to bring up the sys-
tem on schedule and fully
functional. A detailed train-
ing plan and timeline is a
significant component of
the full implementation
plan. In addition, we would
be interested in the costs
and offering of ongoing
training/updates on an
as-needed, semi-annual,
and/or annual basis.
V. Fee Proposal
Each proposal shall
provide a section listing all
fees associated with the
proposal. This includes
any additional costs asso-
ciated to customer service
and projected out at least
3 years.
VII. Contract Award
Proposals will be evalu-
ated by a selection com-
mittee on criteria listed in
the evaluation matrix be-
low. The District will deter-
mine the firms with the
most advantageous pro-
posal by February 9,
2026.

Previous experience
migrating systems for
other school corporations
District experience with
vendor
Timeline for implemen-
tation

VIII. Timeline
Proposals are due
January 30, 2026 at 1:00
PM EST
Providers may be in-
vited to a work session to
present to the committee
February 9, 2026 about
their proposal
Anticipated selection
of a vendor is February
16, 2026 at the school
board meeting
